Auto Follow-Up

Capture leads and let Veflow send scheduled follow-up messages automatically.

Auto Follow Up (under CRM in the sidebar) keeps chasing warm leads for you: it collects leads, waits a delay you configure, and then sends them a templated follow-up message — no manual reminders needed.

Where leads come from

  • Captured by your AI agents — when an agent conversation yields a lead (name, WhatsApp number, email), the agent saves it into the follow-up list automatically. Duplicate detection by phone number and email means the same person is updated, not added twice. The From Agent column shows which agent captured each lead.
  • Added manually — click Add Lead and fill in Lead Name, From Agent, Email, Status, No Whatsapp, and an optional Note.

The follow-up pipeline

The page summarizes your leads in five status cards, each with its change over the current week:

Only leads in Waiting Follow Up are messaged. Moving a lead to Declined, Hand Overed, or Joined takes it out of the automation.

Configure the automation

Click Setting Parameter to control how follow-ups are sent:

  • Follow Up Channel — the channel used for outreach.
  • Follow Up Delay — how long to wait after a lead is captured before following up.
  • No Whatsapp and Token Whatsapp — the WhatsApp sender identity used to deliver messages.
  • Message Template — the text sent to leads. Use the {nama} placeholder to insert each lead's name automatically.

Click Save to apply. Settings are per workspace, so the whole team shares one sending setup.

When messages go out

A daily job runs at around 10:00 WIB. It picks every lead that is still Waiting Follow Up and whose configured delay has elapsed, sends the templated WhatsApp message, and moves the lead to Follow Up. If a message cannot be delivered (for example, an invalid number), the lead is marked as failed so you can spot and fix it.

Manage the lead list

The table below the cards lists all leads with columns for Lead Name, Email, No Whatsapp, From Agent, Note, Status, and Actions. From the actions menu you can:

  • Open a lead's detail to review its history.
  • Edit the lead — including changing its Status to pull it out of (or back into) the automation.
  • Delete leads you no longer want to track.

Good to know

  • Keep the message template short and personal — it is sent as a normal WhatsApp message from the number you configured.
  • Leads found with the Lead Finder can be worked here after you add them as leads.
  • Sending uses your configured WhatsApp credentials, not AI credits; see AI Credits & Subscription for what does consume credits.
