Email

Connect Gmail and handle CRM email threads without leaving Veflow.

The Email page under CRM gives you a Gmail-connected inbox inside Veflow, and links your email threads to the company profiles in your lead pipeline.

Before you start

  • You need a Google account with Gmail.
  • Connecting grants Veflow permission to read your mailbox and send email on your behalf. Each teammate connects their own account — the connection is personal, not workspace-wide.

Connect your Gmail account

  1. Open CRM → Email from the sidebar.
  2. Click the connect button. You are redirected to Google's consent screen.
  3. Sign in and approve the requested Gmail permissions.
  4. You are returned to Veflow, and the page shows your connected address.

To disconnect later, use the disconnect action on the same page. Veflow stops reading and sending mail immediately.

Work the inbox

Once connected, the inbox shows your Gmail messages organized in four folders:

You can search the current folder with a free-text query and open any message to read its full body.

Compose and send

Write a new email by filling in the recipient, subject, and body, then sending — the message goes out through your own Gmail account, so replies land in your normal mailbox as well as in Veflow.

Veflow can also draft for you: describe what the email should say, and the AI proposes a subject line and body. Review and edit the draft before sending — you always stay in control of what goes out.

Emails on a company profile

Every company lead in the CRM has an Emails tab that collects the threads between your connected mailbox and that company's contacts:

  • Threads are matched to the lead so the whole history sits next to the profile.
  • You can generate an AI reply draft in the context of a thread, edit it, and send it from there.
  • Synced threads also feed the Canvas tab's AI summary, so the briefing reflects your latest correspondence. See the CRM overview.

Automatic inbox checks

Veflow sweeps your connected mailbox roughly every 15 minutes. When an unread email from one of your CRM contacts is found, you get an in-app notification pointing you to the message. Each email only triggers one notification, so you are not re-alerted for mail you have already been told about.

These checks only run while your Gmail connection is active. If you disconnect, notifications stop until you reconnect.

Troubleshooting

  • Connection expired — Google occasionally invalidates tokens. Reconnect from the Email page.
  • A thread is missing on a profile — make sure the contact's email address is saved on the lead's contact list; matching relies on it.
  • Sending fails — check that your Google account is still connected and that the recipient address is valid.
