Users and Groups

Invite team members, assign roles, and share agents and knowledge bases through groups.

Veflow is multi-tenant: everyone in your company works in one shared workspace and sees only your company's data. User Management controls who is in the workspace; Group Management controls who shares which agents and knowledge bases.

Roles

Users also have a separate ERP Role (such as Procurement, Logistics, Finance, Auditor, or AOS Controller) that gates access to ERP pages. If you open an ERP page without the required role, an "Access Locked" screen asks you to contact your company's AOS Controller.

User Management

Open User Management from the sidebar. The user table shows each member's Email, User Credit (AI credits consumed), Join Date, Role, ERP Role, Last Activity, and Status.

There are two ways to bring people in:

  • Invite Member — send an invitation by email. Invitations wait in the Pending Invitations list, where you can Copy Link to share the invite directly or Cancel Invitation if it was sent by mistake.
  • Add User — create the account yourself: fill in Full Name, Email, Username, Phone Number, Role, a Password (with confirmation), and an optional photo.

From the Actions column you can:

  • Edit — update a user's profile or role.
  • Reset Password — set a new password for the user.
  • Delete — remove the user permanently; a confirmation dialog explains the consequences first.

Clicking a user opens Detail User, showing their totals — AI Agents created and published, knowledge base folders and files, and Total AI Usage in credits — plus their Recent Activity.

Group Management

Groups bundle members, AI Agents, and knowledge bases so a team shares the same working set. A member of a group can use the agents and knowledge bases assigned to it.

  1. Open Group Management from the sidebar. Each group card shows who created it and its member count.
  2. Click Add Group, then give it a Group Name and an optional Group Description.

Open a group to manage its contents in three tabs:

  • Member Group — the member list with Member, Role, and Action columns. Use Add member to bring teammates in.
  • AI Agent Group — the agents shared with this group. Use Add AI Agent to attach more.
  • Knowledge Base Group — the knowledge base folders shared with this group.

You can also share from the other direction: agents have an Assign AI Agent dialog and knowledge bases an Assign Knowledge Base dialog, both with an Assign to Group selector. The same option appears as the final step when creating an agent or a knowledge base.

Deleting a group removes access to the configurations tied to it, so the confirmation dialog asks you to confirm before proceeding.

Tips

  • Keep one group per team or function (for example Sales, Support) and assign agents and knowledge bases to the group rather than to individuals.
  • Watch the User Credit column and the per-user usage table on the Dashboard to spot unusually heavy AI usage early.
